The PMO supports the governance and execution of the Quality Transformation Program. The role works closely with Program Leads, Project Managers, business stakeholders and external partners to coordinate workstreams, consolidate updates, maintain program controls and ensure clear visibility of progress, risks and actions.

This is a hands-on coordination and PMO role. It does not require deep technical expertise in Quality systems, but it requires strong organization, follow-up discipline, reporting skills and the ability to work effectively across global teams.

Key Responsibilities
Program Planning & Coordination
Support the maintenance of integrated program plans, milestones and deliverables.
Consolidate status updates from project teams and workstream leads.
Monitor progress against key timelines and highlight deviations early.
Track interdependencies across projects, vendors and business functions.

Governance & Reporting
Prepare weekly and monthly program reports, dashboards and status packs.
Coordinate governance meetings, steering committees and project reviews.
Prepare meeting materials, minutes and action logs.
Support consistent use of PMO templates, project standards and reporting routines.

Risk, Issue & Action Management
Maintain RAID logs covering risks, assumptions, issues and decisions.
Follow up on mitigation actions and issue resolution with owners.
Escalate delays, blockers and risks to Program Leadership when needed.
Ensure actions and decisions are documented and tracked to closure.

Financial & Resource Tracking
Support budget tracking, forecast consolidation and actuals follow-up.
Monitor vendor invoices, purchase orders and resource allocation.
Maintain visibility of internal and external capacity across workstreams.
Support preparation of financial updates for program reviews.

Stakeholder & Vendor Coordination
Facilitate communication between Quality, Regulatory, Manufacturing, Digital and external partners.
Coordinate follow-up with vendors and implementation partners on commitments and deliverables.
Support preparation of clear updates for leadership and project teams.
Help ensure timely completion of assigned deliverables and actions.

Required Qualifications & Experience
7+ years of experience in PMO, project coordination or project management roles.
Experience supporting transformation, digital, IT or business change programs.
Strong knowledge of project planning, status reporting, governance and action tracking.
Good understanding of RAID management and dependency tracking.
Advanced skills in Excel and PowerPoint; experience with Power BI, MS Project, Smartsheet, Jira or similar tools is a plus.
Excellent organisation, communication and follow-up skills.
Professional fluency in English.

Preferred Experience
Experience in Life Sciences, Healthcare, Consumer Health or Manufacturing environments.
Exposure to Quality systems such as Veeva QMS, Veeva RIM, LIMS, TrackWise, MasterControl or similar platforms.
Experience supporting global programs with multiple stakeholders, sites and vendors.
Familiarity with GxP, Quality, Regulatory or Validation-related processes is a plus.
Experience working with stakeholders across Europe and India is an advantage.

Reporting Line & Engagement
The PMO reports to the Quality Transformation Lead and supports the execution of the Quality Transformation roadmap. The role is expected to support the program lifecycle through planning, delivery tracking, reporting and governance activities. Occasional travel may be required depending on program needs.

Positioning Note
The focus is on strong execution, coordination, consolidation and follow-up rather than independent ownership of the full program governance model or strategic decision-making.
